What this site collects today
You can browse the map, project pages and data without an account. Browsing sets no cookies, and the site uses no third-party analytics or advertising trackers. If you sign in, one cookie keeps you signed in for up to 30 days; signing out deletes it.
To count visits, the server records the page address and its language for each page view. It does not record who you are, your IP address or your search terms in these counts.
Like any website, the server keeps technical logs, including IP addresses, to protect the site from abuse (for example, to limit how many requests one address can make). These logs are used only for security and operations.
When you submit a project (from early 2027)
Signing in and submitting a project will require your name, email address and organization. We use them to manage your submissions, to contact you about them and to send confirmation emails.
A project's contact person is shown publicly only if you give explicit consent on the submission form. Otherwise contact details are seen only by ITS Canada staff who review submissions.
Files you upload are stored privately and are published only with an approved project.
Where the data is stored
The application, its database and uploaded files are all hosted in Canada (Amazon Web Services, Canada Central region in Montréal).
Emails from the site (sign-in links, confirmations and notifications) are sent through Resend, an email service based in the United States, which receives your email address and the message.
Project information is public; the personal information involved is limited to submitters' contact details.
Database backups are encrypted and taken nightly.
Services that receive your browser's requests
The base map is loaded from OpenFreeMap (tiles.openfreemap.org), which receives your IP address when your browser requests map images, like any website you visit. Map data comes from OpenStreetMap contributors.
Address search in the submission form runs through our server, not your browser. The place names and addresses you search for are looked up on the map service our hosting provider operates, which runs in the United States; they are not linked to your name or email.
Your rights
Under Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), you can ask to see the personal information we hold about you, ask us to correct it, or withdraw consent to its use.
You can delete your account yourself at any time from My account. This deletes your account, your name and email address, your sign-in sessions and any drafts you haven't sent for review, with their files. Projects you submitted stay with ITS Canada, because they describe your organization's work, but without your name; you can also remove your contact details from them. The activity log keeps a record that an account was deleted, without your name or email address.
